Most crèche apps now tick the same boxes: offline, NCS, Tusla reports. If you’ve already chosen one, you had your reasons. So here are the questions that go a level deeper, with our honest answers. When the wifi drops, does everything stop except sign-in, or can staff keep logging without switching back to paper? And is it actually cheaper than what you’re paying now?
Maybe not, and we won’t pretend it is. But what you’re paying for isn’t the software, it’s getting back something worth more: your time, and knowing the records are ready for the next inspection, the next room that frees up, or the next manager who takes over.
When the wifi drops, what can staff still log?
Attendance, staff presence, naps, nappies, meals, notes, observations, accident and incident reports, facility checks and handover notes all save on the room tablet and sync when you're back online, without creating duplicates. The room board, with allergies and emergency contacts, opens from its last copy. Ratios are worked out from the synced record once the tablet reconnects.
Who can get in, and from which devices?
Staff have no logins. They tap their name on the room tablet you paired, so there's nothing on a personal phone and nothing to switch off when someone leaves. A missing tablet is reissued or deactivated from your admin screen; until then it works for its own room, so treat it like the crèche keys. Admins sign in with a second step (MFA), and reports can't be opened off the premises without your approver signing off.
Is NCS tracked against what actually happened?
Each child's eligibility is tracked against their actual attendance, including the under-attendance rules. You see which NCS claims are still waiting on a parent to confirm, and a Pobal reconciliation of claimed, attended and paid.
When a ratio slips, does the record show how it was put right?
Yes. The ratio is recalculated every time a child or staff member checks in or out, and each slip is logged with how it was resolved, never cleared quietly.
Once a report is signed, who can change it?
An accident report can't be changed from the room tablet once it's signed, and incident and behaviour reports can't be edited after they're saved.
Are the Tusla reports in Tusla's own format?
Yes. The report templates follow the Tusla Early Years Services inspection notebook, and they print or save as PDF.
